Timecard (Time Card Management)
When entering Timecard Management you will see a screen similar to the one below. Without filtering, it will list all of your employees, showing their hours for each day. This screen displays one week at a time so if your pay period runs for more than a week (i.e. biweekly) then just scroll forward and back from one week to another or, you can also scroll one day at a time. The scrolling arrows are located at the upper right side of the screen just below the Dashboard and Logout buttons.
Searches can also be done by selecting a date from the drop-down calendar between the scrolling arrows. This is a better method when searching for a date many weeks or even months in the past.
Under the scrolling arrows is a link to Search Filters. You can use this filter to narrow down the list of employees by name, department, etc. or to select specific exceptions to show such as Absent and Missing Punches.
On the screen below one of the employees has stars next to his hours. This indicates the hours have been reviewed and accepted. This screen has not been filtered for exceptions so there are none showing.
- Period Sign Off- Click this when all editing is done and payroll is ready to be processed. It is first necessary to check the employees who will be processed. The selected employees will be locked from further editing
- Remove Period Signoff- This will undo the Period Sign Off and unlock the employees checked
- Review Complete- This tool gives supervisors the ability to let the Payroll Coordinator know that they are finished with their portion of the editing
- Memorize- With this button the setup of the screen with filtering in place can be memorized. This creates an icon on the User's desktop which, when clicked, will open this screen with filters in place

If you want a quick view of the punches for an employee along with exceptions just click the box to the left of the Labor Distribution column for the selected employee. An arrow and pencil will appear in the box. Now double click it and a punch screen will pop up. This is not an edit screen but simply allows you to quickly view the weeks details. The first screen above showed all employees and hours for each day. In order to see which days have exceptions click Search Filters at the upper right hand side of the screen. Below is a typical filter. In this example:
- Match All Filters was selected.
- Exceptions was selected from the list on the left.
- On the right screen Early In, Early Out, Late In, Late Out, Missing In, Missing Out and Absent were selected. Other filters can also be selected such as filtering for a specific department
- Click OK to save your selections. At this point you be taken back to the main screen with filters in effect.

Now only the employees matching the filters are listed. If you will always use the same setup (filtering) then click the Memorize button on the bottom of the screen to create an icon on your desktop. Whenever you click the icon you will be taken to this screen with filters already in place.
The days with exceptions have a red asterisk. To edit a timecard click the day with the exception. The timecard edit screen will open with only the day in question expanded. By clicking the employee's name on the screen below, the timecard edit screen will also appear with no days expanded. Expanding and Collapsing days is covered on the "Edit Screen" page.

The screen below shows the main Timecard Edit Screen after Period Signoff. There is a Lock symbol next to each day's hours indicating that the record is locked for payroll.
Please Note: A period can be locked with exceptions except missing punches. Missing In and Out punches must be corrected before Period Signoff.
